Trial: every new workspace starts with a 14-day free trial that unlocks Agency Business features (including AI Agents and automations) so you can evaluate the platform fully. No payment details are required to start; a trial countdown shows in the sidebar. Enterprise-only capabilities (custom integrations, unlimited seats, priority support) require an Enterprise plan. Jamar (the built-in assistant) is available on every plan, including the trial. The hireable AI Agent roster is an Agency Business feature. See §8 for the distinction.

Jara uses capability-based RBAC: each role is a named bundle of capabilities (e.g. crm.manage, team.manage, invoices.manage). When RBAC enforcement is ON, every create/update/delete is gated by the acting user's capabilities.

How each role is assigned
- Owner — the person who created the workspace. The Owner role cannot be changed or transferred in-app. ⚠️ Verify whether ownership transfer is supported via support.
- Admin / Member / Viewer — invited at Agency → Team → Invite Member, or changed later at Agency → Team → People. Only Owners and Admins can set these.
- Client — invited at Agency → Team with the Client role; on login they are sent to the Client Portal (
/portal) and never see the internal app. See §17.
The capability matrix is customisable per tenant at Agency → Roles and Permissions — a tenant can override the defaults above. The role Library ships with a set of ready-made role templates you can adopt or clone. ⚠️ Verify the current template count if you want to cite a number.

Jara is an intelligent Marketing Operating System (iMOS). It combines CRM, new-business documents, project delivery, content and marketing, AI assistance, invoicing, and client collaboration in one place — so a team can run the entire client (or campaign) lifecycle without stitching tools together.

6. Getting Started

Creating your account
- Go to jara.marketing and click Sign Up.
- Enter your email and create a strong password (at least 8 characters; a passphrase is recommended). ⚠️ Verify the enforced minimum matches this.
- Choose your workspace type (agency or in-house/SME) and team size during onboarding.
Your workspace is provisioned automatically with a 14-day trial on Agency Business features (see §1), an auto-generated Brand Kit with default colours and fonts, and access to your plan's features.
Tip: use a
+aliasemail (e.g.you+agency@gmail.com) to spin up test workspaces on one mailbox.
First login
You land on the Today dashboard. Recommended first steps:
- Set up your brand — Studio → Brand: upload your logo, set colours, configure typography.
- Add your first client — Clients → Accounts → + Add Account.
- Invite your team — Agency → Team → Invite Member (Agency mode).
- Meet Jamar — open Jamar from the sidebar.
In-house/SME team? Start with §20 instead — some of the above is agency-only.
Inviting team members
Agency → Team → Invite Member → enter email → pick a role (Admin, Member, or Viewer) → send. To add a Client, invite with the Client role (§17). Role definitions are in §2.

8. AI in Jara — Jamar, Agents & Data Handling

Jamar (the assistant)
Jamar is your AI assistant, available from every page — via the sidebar, the floating button (bottom-right), or the Command Palette. Jamar can:
- Answer questions about your data — "How many deals are in my pipeline?", "Show my overdue tasks", "What's total revenue this month?" Jamar answers from your actual workspace data, and tells you when the information doesn't exist or isn't available to your role rather than guessing.
- Execute actions — "Create a task 'Follow up with Acme' due next Friday", "Draft a blog post about AI marketing trends", "Schedule a meeting with John Doe tomorrow at 2 PM."
- Work your inbox — summarise threads, draft brand-voice replies, and turn action items into tasks (see §15).
Jamar keeps a searchable multi-chat history and respects your timezone (IANA, e.g. America/Toronto) when scheduling.
AI Agents (hireable roster) — Agency, Business+
Beyond Jamar, an agency can hire specialised AI Agents that appear alongside human team members: Agency → Team → Roster → browse the Hireable Catalog → hire an agent → assign it work like any teammate.
AI & data handling
⚠️ Verify every statement in this subsection against the actual AI configuration and the Privacy Policy/DPA before publishing — this is the section users and buyers scrutinise most.
- Model provider. Jara's AI features are powered by [Google Gemini]. ⚠️ Verify the current provider/model.
- What is sent. To answer a question or run an action, Jara sends the relevant slice of your workspace data (and your instruction) to the model provider. Only data your role can access is used.
- Training. Your workspace data is not used to train third-party foundation models. ⚠️ Verify and state the provider's data-use terms explicitly.
- Retention. AI request/response logs are retained for [period] for reliability and abuse-prevention. ⚠️ Verify.
- Controls. Administrators can [enable/disable AI features per workspace]. ⚠️ Verify what opt-out actually exists.
- Where this is governed. AI data handling is covered by the Jara Privacy Policy and the Data Processing Addendum (DPA). ⚠️ The DPA is referenced by the Terms and Privacy Policy and must be finalised — link it here once published.

Account detail page shows Overview (info, type badge, lifecycle stage), Contacts, Deals, Projects, and an Activity timeline. A Portfolio (Kanban) view groups accounts by lifecycle stage.

Contacts
The people at your client companies. Add at Clients → Contacts → + Add Contact (First/Last name, Email, Phone, Job Title) and associate with an Account. Contacts have a full profile and activity timeline, are auto-matched to synced email, can be linked to deals, and are checked for duplicates.
Deals & Pipeline
Track opportunities from lead to close at New Business → Pipeline → + Add Deal (Deal Name, Amount, Stage, Probability, Expected Close Date; associate an Account and Contact).

Reviews
⚠️ Needs content. "Reviews" appears in the Clients group but has no documented behaviour. Confirm what it is (client/account review cycles? testimonials/reputation? approval reviews?) and document: what it's for, how to create/run one, who can see it, and how it relates to Reporting and the portal. Placeholder kept so the nav item is not orphaned.
10. New Business — Proposals, Contracts, Invoices, RFPs

Proposals
Create branded proposals at New Business → Proposals → + Create Proposal (Title, Client, Contact, Value, Scope/Description, Line Items). Save as draft, then Share to generate a branded public link (/p/[token]) the prospect can view without logging in — logo, colours, full line items, Accept/Decline buttons, mobile-responsive. Public-link details are in §17.
Contracts
Formalise agreements at New Business → Contracts → + Create Contract (Title, Client, Contact, Start/End dates, Terms, Value), or generate from an accepted proposal (data pre-populates). Send for signature; clients sign from the public link (/c/[token]). Version history is kept. This is the Proposal → Contract → Invoice pipeline (see the workflow in §21).
Invoices
Bill clients at New Business → Invoices → + Create Invoice (Client, Contact, Line Items, Due Date, Terms/Notes). Invoices auto-number (e.g. INV-001), track status Draft → Sent → Viewed → Paid → Overdue, expose a branded public payment link (/i/[token]), accept Stripe payments when configured (§18), and export to PDF.
RFPs — Business+, Full Service Tools flag
For agencies receiving incoming requests: New Business → RFPs to review submissions, assess fit, and convert to deals/proposals. Availability is governed by the Feature Availability table (§3).
11. Project Delivery

Projects
Track client work at Deliver → Projects → + Create Project (Name, Client, Start/End, Budget, Description, Team). The detail page shows dates, budget, team, and status, plus Tasks, Proof approvals, Time tracking, and status updates.
Tasks
Break work down at Deliver → Tasks (or from a project) → + Create Task (Title, Description, Assignee, Due Date, Priority, Project; optional Contact/Deal). Tasks support a Kanban board, list view, appearance on Today, comments & @mentions, and recurring schedules.
Time Tracking — timeTrackingEnabled
Log hours at Deliver → Time Tracking → + Log Time (Project, optional Task, Hours, Date, Description). Includes a utilisation dashboard, billable vs. non-billable categorisation, export, and budget burn (actual vs. budgeted). Gated per §3.
Proofs & Approvals
From a project, Submit Proof (upload or link the deliverable). The client is notified and can Approve / Request Changes / Reject in the portal or via a public link (/proof/[token]); status updates in real time. (Same proofs surface in the Client Portal, §17.)
12. Studio — Content & Marketing

Content calendar
Plan and schedule content at Studio → Content (Calendar / List / Grid) → + Create Content (Title, Channel, Scheduled Date, Body, Client). Save as draft or schedule for automatic publication. Status lifecycle: Draft → Scheduled → Published → Archived. Click the ✨ AI icon to generate a draft, apply your brand voice, and score content against brand guidelines.
Brand Kit
Your visual identity hub at Studio → Brand (auto-generated at signup). Edit Logo, Primary/Secondary colours, Typography, Tagline, and Brand Voice (tone, personality, vocabulary). Brand settings apply to public proposals/contracts/invoices, portal branding, and AI-generated content. Brand Wizard offers a guided step-by-step setup.
Websites & Domains
Build client sites at Studio → Websites (visual editor, layouts, content blocks, publish). Connect custom domains at Studio → Domains (add domain, follow DNS steps, assign to a site or portal). Custom domains are Business+ (§3).
Forms, Campaigns
Forms — lead-capture forms/surveys with submission actions (email notification, CRM contact creation), embeddable or shareable. Campaigns — manage campaigns with goals, budget, timeline; link content, ads, and events; track performance.
Full-Service tools — Business+, Full Service Tools flag
Ads, PR, CRO, SEO, Competitors, and Events are governed by the Feature Availability table (§3).
13. Calendar

The Calendar (top chrome) shows appointments, meetings, and scheduled events, and reflects deadlines surfaced on Today. When email is connected (§15), calendar events sync from Google Workspace / Microsoft 365. Jamar can create events in your timezone ("tomorrow at 2 PM").

14. Analytics, Reporting & Client Reports

Three related but distinct surfaces — this section exists to keep them from being confused:
- Analytics (top chrome) — cross-workspace performance dashboards for your team: pipeline, revenue, delivery, utilisation. For internal monitoring.
- Reporting (Agency → Reporting) — build client-facing performance reports (KPIs, charts, insights) and schedule automated delivery. This is where QBRs are produced.
- Client Reports (Client Portal) — how a client views the reports you shared, with approval tracking (§17).

15. Email Inbox

Layout (Gmail-style 3-pane): a left rail (folders, connected accounts with unread badges, Sync Now), a searchable message list (paginated, debounced search), and a reading pane (HTML sanitised for XSS-safe rendering).
Features: send/receive with reply, reply-all, forward; auto-match senders to CRM contacts; Summarize with Jamar (key points + action items); AI draft reply in your brand voice; create task from an email; archive/organise; periodic background sync.
16. Agency Management

Team
Manage human and AI members at Agency → Team, across four tabs: People (name, email, role, status), Roster (humans + AI Agents as "seats"), Invitations (pending), Org Chart (structure). Change a role at People (Owner/Admin only; the Owner role can't be changed). Remove a member from the Team page — access is revoked immediately. Role detail is in §2.
Roles & Permissions
Fine-grained RBAC at Agency → Roles and Permissions: Permissions (capability × role matrix — edit what each role can do), Assignments (per-member overrides), Library (ready-made role templates to adopt or clone). See §2.
Products
Your service catalogue at Agency → Products — add/edit/archive offerings and link them to proposals and contracts for consistent pricing.
Strategy
Framework-based client planning at Agency → Strategy — define positioning, goals, channel plans, and target audiences per client. Strategy documents inform project briefs and AI content generation.

Conflicts (conflict-of-interest register)
⚠️ Draft — verify against the product. Conflict checking is a genuine differentiator and was previously undocumented.
The Conflicts register (Agency → Conflicts) helps you avoid taking on a client that competes with one you already serve. Before you commit competitive work — strategy, audience research, media plans — check the prospect against your existing client portfolio; if a direct competitor is already a client, the register flags it for review so you can keep the two walled off and never reuse one client's confidential data for another. Document: how conflicts are detected (manual vs. automatic on account/deal creation), who is notified, and how a flagged conflict is resolved or overridden.
Automations — Business+
Build workflow automations at Agency → Automations: event triggers (e.g. "when a deal closes, create a project") and actions (send email, create task, update status, notify team).

The Client Portal
A white-labelled space for clients — no internal Jara branding. Invite a Client user (Agency → Team, Client role); on login they're redirected to /portal and never see the internal app. Clients see your branding, Reports, Proofs (Approve / Request Changes / Reject), Invoices (outstanding and paid), and only their own account's data.
Branding: your logo in the header and your brand colours as accents; no "Jara" branding is shown to the client.

- Tenant isolation — every query and mutation is scoped to the active tenant; your data is never mixed with another organisation's. Users can belong to multiple tenants and switch between them; cross-tenant access is limited to authorised operator roles.
- RBAC — role-based access controls gate every mutation when enforcement is ON (§2).
- IDOR guards — insecure-direct-object-reference protections block cross-record data leakage.
- Encrypted OAuth — email and social tokens are stored securely.
- XSS-safe email — inbound email HTML is sanitised before rendering.

Can my clients see our internal tools? No. Client-role users are redirected to the Client Portal (/portal) and never see your dashboard, sidebar, or internal data (§17).
Can I use Jara for a non-agency business? Yes — SME mode gives any in-house team CRM, invoicing, and project management. Agency-only features (team roster/AI Agents, Client Portal, conflicts) are hidden (§4, §20).
What happens when my trial expires? After 14 days you choose a plan; your data is preserved (§1, §18).
How do I reset my password? Click Forgot Password on the login page for an email reset link.
How do I switch dark/light mode? The sun/moon icon in the sidebar footer; your choice is saved (§7).
How do I export my data? Use Export on most list views (Contacts, Deals, Time Entries, Invoices) — exports are CSV. For a full-account export on cancellation, see §18. ⚠️ Verify full-export path.
